What are the reasons for rejection?

As an Authorised Signatory, when completing an application for a temporary employee pass, your application will be rejected if it doesn't meet strict security, quality, and compliance requirements.

A temporary employee pass will only be issued if a complete, accurate, and verified application is submitted and there is a clear and genuine requirement for that individual to access secure airport areas.

How to avoid your application getting rejected

When checking over your applications, there are some common mistakes we see made. Below we've summarised some key areas of your application for you to review. Follow our top tips, and avoid application rejection.

Primary details

When completing the personal details section, make sure the name on the form matches the exact same name stated on the ID document(s) and the Criminal Records Check details (only required if the valid period is over 14 days).
Check for missing hyphens in double barrelled surnames
The forename must be their first name, and not a combination of the first and middle name

Address

The address on the application must be a current address
The country must be included in the address history, and this must not be abbreviated

Identity

All Identity details must match the ID document(s) that have been submitted with the application. The slightest difference means the application will be rejected.
Check there's no missing signatures from ID documents submitted with the application
The UK Driving licence number mustn't be missing the last two digits (the issue number)
Ensure the country of nationality hasn't been entered as GB when it should be something else

Identity documents

This is one of the most common application sections that is rejected due to having a poor quality image. Please make sure the image uploaded is clear.

Other areas to check:

The images uploaded of the ID documents should be in colour
The images must be good quality
The required fields such as: first name, surname, DOB, and valid from and to dates must be visible
The only accepted ID documents are:
- British Nationals – Passport or UK Driving License
- EU Nationals – Passport
- Rest of the World – Passport or eVisa

Position

The job title entered must only be up to 30 characters long (including spaces). Any longer and your application will be rejected.

Previous pass

If any previous passes held by the applicant are not disclosed and returned then the application will be rejected. This will be checked as part of the application review process. This includes any previous temporary passes.

Criminal records check

Cross reference the details provided in this section and the primary details section, to ensure all details are correct and match the applicant
Make sure all pages of the CRC document have been uploaded
Check that the name, DOB and place of birth matches the CRC document
The certificate needs to have been issued within 10 weeks of the date of the submission of the application
The actual copy of the certificate needs to be provided, not just the receipt
Any overseas record needs to be verified, and needs to match the online version details
